for performers, panelists and workshop creators

Introduction

In these Stage Act Terms and Conditions, words like ‘you’, ‘the performer’, ‘the act’ and ‘the applicant’ will refer to the individual or group applying to perform at RakuCon. On the other hand, ‘our’, ‘us’, ‘we’, ‘issuer’, ‘provider’ and similar terms will indicate the organisers of RakuCon – RAKUEVENTS LTD.

These Stage Act Terms and Conditions operate as a professional addendum to the RakuCon Terms and Conditions, Code of Conduct, Privacy Policy and other policies.

By opting to apply for, accept, or participate in a performance, panel, or workshop slot at RakuCon, you automatically agree to these Stage Act Terms and Conditions in addition to all applicable general event policies. If you do not agree with any of the clauses listed below or the risk allocations mentioned here, please do not apply to perform at RakuCon.

Please note that RAKUEVENTS LTD reserves the right to make changes, revisions, and amendments, or add/remove sections from these Stage Act Terms and Conditions without any prior notifications. Such changes will be duly reflected on the organiser’s website. Your continued participation in the event constitutes acceptance of the terms in effect at that time.

Age Requirements

Performers applying to participate at RakuCon must be at least 16 years of age at the time of the event. After party performers msut be at least 18 years of age.

Performers under the age of 18 must have written consent from a parent or legal guardian and must be accompanied by that parent or legal guardian at all times while on site, including backstage areas, unless explicitly approved otherwise by the issuer.

The issuer reserves the right to refuse, restrict, or revoke a performance slot involving a minor at its sole discretion.

Performances

Your confirmed performance slot represents a revocable license to access and use the designated stage or performance area for the agreed duration only. This license may be revoked at any time by the issuer at its sole discretion, without any prior notification or compensation.

The confirmed duration, scheduling, and placement of your act will be determined by RAKUEVENTS LTD. Day acts are generally scheduled between 5 and 45 minutes, while After Party acts are limited to 15 minutes. The final time slot and duration are at the sole discretion of the issuer and will be confirmed in writing.

You agree that all content performed on stage will be suitable for a general family audience (approximately PG / 12A equivalent). During the after party, content performed on stage should be suitable for an adult audience (approximately 18 equivalent). RAKUEVENTS LTD and RakuCon follow a common ‘zero-tolerance policy’ towards any type of behaviour, performance content, or actions that can be interpreted as lewd, obscene, or that violate the Code of Conduct or any associated event policies.

If a performance is found to be in violation of these standards, the issuer has the right to terminate the act immediately. From that point onwards, your license to perform and remain at the venue will be deemed void.

You agree that all materials used as part of your performance and promotional materials, including but not limited to music, backing tracks, background videos, digital images, visuals, scripts and other media, are either your original work or are used under a valid license or with the permission of the relevant rights holder.

To facilitate venue reporting for PRS/PPL music licensing, you must provide a complete setlist (including Song Title and Original Artist) for any copyrighted music used during your performance. This information must be submitted to the issuer no later than 14 days prior to the event.

Technical Requirements and Props

RAKUEVENTS LTD will provide standard technical equipment (such as microphones and projectors) as outlined in the Performer FAQ. Any additional technical or staging requirements must be requested at the time of application. While reasonable efforts will be made to accommodate requests, there is no guarantee that additional equipment will be provided.

If you intend to bring your own equipment, instruments, props, or staff members, you must inform the issuer in advance. Any unapproved or undeclared items brought on the day of the event may be barred from entry by venue security.

In accordance with the RakuCon Cosplay Policy, the standard 1.5-metre prop size restriction may be waived for stage-only use if explicitly approved by the issuer in advance. Such props must remain within the designated stage area at all times and may not be carried through dealer halls or other public areas if they exceed the standard size limits.

You assume full responsibility for the safe handling, storage, and operation of all props, equipment, and materials brought by you. RAKUEVENTS LTD accepts no liability for injuries, damages, or losses arising from their use.

Tickets and Access

For each confirmed act, RAKUEVENTS LTD will provide one (1) complimentary ticket per performer for the day of the performance only. Additionally, each act is entitled to a maximum of one (1) ‘Essential Crew’ ticket for a helper or assistant.

In the case of performers under the age of 18, the accompanying parent or legal guardian will be deemed the ‘Essential Crew’ member for the purposes of ticket allocation, unless otherwise agreed by the issuer.

The full names of all performers and the single designated crew member must be submitted to the issuer no later than 14 days prior to the event. These tickets are non-transferable, have no cash value, and cannot be redeemed for credit or exchanged for tickets on other days.

Attendance on any other day of the convention, or attendance at the After Party (unless performing therein), will require the purchase of a valid standard ticket.

Merchandise

Performers are permitted to sell a small quantity of original merchandise (such as CDs or logo apparel) directly related to their act. A limited space may be made available in the performance room for a restricted period immediately before and/or after your performance slot.

RAKUEVENTS LTD does not provide card readers, cash handling, or security for performer merchandise. The sale of merchandise is undertaken entirely at your own risk. RAKUEVENTS LTD has no liabilities: financial, legal, or otherwise - for loss, theft, or damage of your goods.

If you intend to sell a large volume of items or require a dedicated sales space, you must purchase a trader table. No merchandise sales are permitted at the After Party venue under any circumstances.

You are solely responsible for compliance with all applicable trading, tax, and consumer protection laws in relation to merchandise sales.

Media and Likeness

By appearing on stage, you grant RAKUEVENTS LTD the unrestricted right to record, photograph, and film your performance for use in marketing, social media, archival, and future promotional materials without compensation.

Please note that the ‘No Photography’ sticker referenced in the General Event Terms and Conditions does not apply to performers while they are on stage. By entering the stage or performance area, you give your full consent to be photographed and recorded by RAKUEVENTS LTD, accredited media, and event attendees.


Liability

RAKUEVENTS LTD does not take any responsibility for damage to, or loss of, your personal equipment, instruments, costumes, props, or other belongings. All such items are brought to and used at the venue entirely at your own risk.

You agree to indemnify RAKUEVENTS LTD against all claims, damage, losses, costs, expenses, demands, or liabilities (including reasonable legal fees) arising from your performance, your equipment, your props, or any breach of these Stage Act Terms and Conditions. This does not restrict any liability that cannot be excluded by law.

The performer acts as an independent contractor and is not an employee, agent, or representative of RAKUEVENTS LTD. As such, you are solely responsible for your own tax, National Insurance, and any other statutory obligations.

Final Decision

In all cases of disputes regarding performance slots, scheduling, technical requirements, conduct, or interpretation of these Stage Act Terms and Conditions, the decision of RAKUEVENTS LTD will be deemed final and binding.

Applicable Law and Jurisdiction

These Stage Act Terms and Conditions will be governed in accordance with English law.
